Mandatory Training and Compliance

  • Complete required training through UTSW as assigned.

  • Annual refreshers are common for safety and compliance topics.

  • Disclose potential conflicts of interest through the appropriate UTSW process and update disclosures when circumstances change.

Benefits and Wellbeing

  • Review your benefits carefully as a state employee and make changes during the normal enrollment windows when required.

VPN and Remote Access

  • Many UTSW systems require VPN access, especially utsouthwestern.net resources.

  • If you need remote access, set up the UTSW VPN while you are on campus if possible.

  • Limited intranet access is also available through the Citrix Gateway.

Equipment Surplus and Decontamination

  • Do not dispose of regulated equipment informally.

  • Equipment exposed to biological, chemical, or radioactive materials must be decontaminated before surplus pickup.

  • UTSW procedures and forms are available through the Safety and Business Continuity site.

Intellectual Property and Agreements

  • The Office for Technology Development handles intellectual property matters.

  • Open-source software release, invention disclosure, MTAs, and other legally binding agreements should go through the relevant UTSW process rather than being handled informally within the lab.

Core Facilities and Parking

  • UTSW maintains a wide range of core facilities.

  • Frequently used facilities include flow cytometry and quantitative light microscopy services.

  • Campus parking information is available through Campus Services Parking.

Shipping

  • Use the institutional shipping workflow in eShipGlobal for outbound shipments.

  • If this is your first shipment, create the account before you need to send a time-sensitive package.

  • Biological shipments require the appropriate training, classification, packaging, and documentation.

  • Keep shipments under supervision until they are collected or formally handed off.

Travel

  • A travel authorization is required before incurring travel expenses.

  • International travel may require additional approval.

  • UTSW travel rules are strict about airfare booking, reimbursement, and receipt documentation.

  • Alcohol is not reimbursable as part of a travel meal.

  • If you expect unusual travel circumstances, work through lab administration in advance.
